About The Opportunity

The successful candidate will be responsible for providing a high quality, efficient and timely employee life cycle (ELC) in Iron Mountain Greece which means covering assignments in the areas of HR administration (Ergani system management), training, compensation & benefits and performance management supporting the organisation in line with IM global expectations and legal requirements.

Key Accountabilities

1) Recruitment & Induction

  • Assist in Talent acquisition and recruitment

  • Facilitate Induction training and organise onboardings with line managers

2 )Contract management for permanent and contingent workers

  • Assist line managers with the process of contingent worker hiring through Temporary Employment Companies

  • Work closely with line managers to coordinate and upload any shift changes on Ergani system (training will be provided)

  • Assist HR Generalist with data collection and processing during payroll exercise

3 ) Employee Records Management :

  • Maintain Employee personnel files both electronically and paper always in compliance with applicable laws and regulations.

  • Assist in the preparation of HR reports and metrics as needed.

  • Collaborate with HR and other relevant departments to correct discrepancies and maintain data integrity.

  • Handle confidential information with discretion and ensure data accuracy.

  • Support Managers to Maintain Workday Data accurately in a timely manner.

4) Benefits Administration:

  • Administration of employee benefits programs and various employee allowances.

  • Assist employees with benefit-related inquiries and ensure timely enrollment or changes.

5) HR Policies and Procedures:

  • Assist in the development, implementation and maintenance of HR policies and procedures.

  • Provide guidance to employees on HR policies and procedures via MyMap (Servicenow).

  • Assist in special HR projects as assigned.

6) Compliance:

  • Stay informed about changes in labour laws and HR best practices.

  • Ensure local policies are in line with the legislative changes.

7) Offboarding of employees:

  • Liaise with the line manager to ensure all necessary documents during the Leaving procedure are completed.

  • Ensure smooth offboarding experience for the employee and their managers.

Qualifications

  • Bachelor's degree in Human Resources or a related field.

  • Proven experience in administering and supporting workforce management systems, with a focus on Ergani.

  • Min 2-3 years HR relevant experience

Skills:

  • Fluency in written and spoken English

  • HR Systems proficiency: Workday and or Servicenow experience- advantage

  • Strong knowledge of Human Resources processes and procedures / policies

  • Strong knowledge of HR compliance and legislative matters

  • Working knowledge of payroll in Greece

  • Strong analytical and problem-solving skills.

  • Excellent communication and interpersonal skills.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Stakeholder management skills and an ability to gain consensus

  • Ability to work in a highly collaborative manner and successfully in a matrix organisation

  • Strong (clear and concise) communication skills

  • Good interpersonal skills, able to deal with and communicate clearly with colleagues from all levels of the IM organisation and with any external suppliers

  • Able to demonstrate ability to work across multiple work-streams and priorities simultaneously

  • Line management influencing, motivating and coaching others skills
